Aug 2010 – Decluttering Newsletter

Don’t you just feel that Spring is right around the corner! It’s almost time for that wonderful spring clean. I have a major declutter plan in mind for my wardrobe and after watching the fabulous Tim Gunn on his makeover programme a couple of days ago, I was inspired to start thinking about how I can pare down to basics. Then I’m going to attack my office cupboards and book shelves. I am a pretty organised person however I’m not a fanatic about it so I like to have a regular declutter every few months to stay on top of the stuff that manages to find its way into my home, and onto my desk.

Think about any areas that you just know need a good clear out and put a date with yourself in your diary to get it done. It’s immensely satisfying, and when you let go of things you no longer need or love, you are allowing space for lovely new things to enter.

And on the subject of decluttering, one of the biggest bug bears of almost everyone I know is sorting the hundreds of emails which come into our Inbox on a daily or weekly basis.

Are you drowning under the amount of emails sitting in your Inbox?

While technology is a wonderful thing, we can become slaves to our email Inbox as we struggle to keep up with a myriad of business and personal emails which flow in with frightening regularity. We have to make choices as to who we’re going to respond to, and then sort through the rest of the emails in case we miss something important. So, here are a few ideas on how to get your Inbox sorted and keep it sorted:

  • Like any filing system, emails need to be sorted into categories so you can decide whether to file, cull or archive.
  • Create and name folders in your Inbox for each category, and sub-folders where necessary. To create a new folder: right click on Inbox and then on New Folder, and name the new folder. To create a sub-folder you click on your category folder that you’ve already created and follow the previous steps to create the new folder.
  • Still in your Inbox, click on the From tab at the top of the email list – this will sort all your emails by Sender.
  • Now you can decide what emails can be deleted, or archived, or filed. By clicking on the first email of the sorted group, holding down the Shift key and clicking on the last email of the group you can then either delete the entire bunch of emails, or drag them all over to the Folder you’ve set up in your Inbox.
  • Use this method of dragging the emails over into their Folders, or sub-folders, until your Inbox is virtually clear of everything except those emails you need to deal with now.
  • As for the many email newsletters and such like that we receive, here’s what I do. I have created in my Inbox a Folder called “AA Emails to Read” [by calling the folder AA it comes up as the first folder directly under my Inbox – this is where I put all those newsletters or emails which I don’t want cluttering up my Inbox. I can then decide when I’m going to take the time to read, file or cull, the emails without them cluttering up what’s current.

So here’s my challenge for the month – as you’re clearing and sorting, and getting ready for Spring – what can you let go of? Let it go and let it flow – and have fun!
